Create a bulletin board to share files with families
Summary: A bulletin board is a folder that holds a group of files you want to share with families, such as forms, supply lists, permission slips, and more, all in one place. Click Add Board, give it a name and a description, choose the board viewers (the whole school, a classroom, or individual students), then add one or more attachments and click Save. Who can do this
Any assigned teacher can create bulletin boards for the families of their classroom from inside their classroom. Owners and Administrators can do this for any classroom and for whole-school boards. The board viewers you choose control which families can see the board and its files.
Step-by-step
- Open Bulletin Boards. Go to the Bulletin Boards feature.
- Create a board. Click Add Board.
- Name the board. Enter a name (for example, "Administrative Forms").
- Add a description. Write a description explaining what parents will find in the board. A description is required to save the board.
- Choose the board viewers. In Board Viewers, choose who to share with: the whole school, a classroom, or individual students. See "Choosing who can see a board" below.
- Add an attachment. Click Add Attachment, search for the file you want (for example, a classroom supplies list), and select it. You can add up to 5 files per upload, and each file can be up to 100mb.
- Save the board. Click Save. If saving is blocked because the description is missing, add one and save again.
Choosing who can see a board
The board viewers setting controls who the board is shared with:
- Whole school, available to all families in the school.
- A classroom, shared with that classroom.
- Individual students, sharing with a student does not share the board with the child. It shares it with all of the parents or teachers associated with that child.
Adding more files to an existing board
You can come back to a board and add more files at any time. Open the board's menu (the three dots) and choose Edit, then use the attachments area to upload additional files, for example, adding a topical medication form alongside the supplies list. Save the changes (for example, with Update), and both files appear on the board. There is no limit on the total number of files a board can hold, so you can keep adding more across multiple uploads.
What file types a bulletin board accepts
Bulletin boards can hold many kinds of files in the same place, including PDFs, document files, photos, and videos, as well as other file types. This makes a board a convenient single spot to gather everything related to a topic.
Attachment limits
When you add files to a board, keep these limits in mind: you can upload up to 5 files at a time, and each individual file can be up to 100mb. There is no cap on the total number of files a single board can hold, so if you have more than five files, just repeat the upload as many times as you need.
Including links in the description
You can include hyperlinks in the board's description. If you want to direct parents to another website, add the link in the description so families can follow it from the board.
How parents view a board
When a parent views a bulletin board, they click the board and see the files that have been uploaded inside it.
A few things worth knowing
- A description is required. The board will not save without one.
- You can upload up to 5 files per upload and up to 100mb per file, with no limit on the total number of files a board can hold.
- Sharing with an individual student shares the board with that child's parents and teachers, never with the child directly.
- A single board can hold many file types at once, so you can keep related documents together.
- You can always edit a board later to add more attachments.
