Create a calendar event to share with your school community
Summary: Calendar events let you share dates — a no-school day, a field trip, a school gathering — with the families in your school community. Click Calendar, then the purple Add Event button in the upper-right corner, give the event a title, choose who it is shared with, set the date, and optionally add a description and attachments such as a permission slip or a map. When you click Create, the event is added and immediately shared with the parents in the group you named. Who you can share an event with depends on your role.
Who can do this
Any assigned teacher can create calendar events from inside their classroom. As a teacher, you can create events for your classroom, for students within your classroom, or for your own private use. Owners and Administrators can create events for the whole school, for any classroom, or for private use.
Step-by-step
- Open the Calendar. Click Calendar in the main navigation.
- Start a new event. Click the purple Add Event button in the upper-right corner.
- Enter a title. In the title field, type the name of the event (for example, "No School Day").
- Choose who it is shared with. Select the sharing audience — for example, the whole school, a classroom, or individual students. Your options depend on your role. See "Who sees the event" below.
- Set the date. Choose the date for the event (for example, next Monday).
- Add a description (optional). Add any extra details families should know.
- Add attachments (optional). Attach files such as a permission slip for a field trip or a map to the meeting point.
- Create the event. Click Create. The event is added and immediately shared with the parents in the group you named.
Who sees the event
An event is shared with the audience you choose, and the audiences available to you depend on your role:
- Teachers can create events for their classroom, for students within their classroom, or for their own private use.
- Owners and Administrators can create events for the whole school, for any classroom in the school, or for private use.
When the event is shared
As soon as you click Create, the event is added to the calendar and immediately shared with the parents who are part of the group you named. There is no separate send step — creating the event is what shares it.
Adding attachments to an event
You can attach files to a calendar event, which is helpful for events that come with paperwork or logistics. For a field trip, for example, you might attach a permission slip, a map to the meeting point, or any other information families need. Add attachments before you click Create.
A few things worth knowing
- Creating an event shares it right away with the families in the group you chose.
- A private event is just for you and is not shared with families.
- The description and attachments are optional — a title, audience, and date are enough to create an event.
- If you are a teacher and need an event seen school-wide, ask an administrator, since whole-school events are created by Owners and Administrators.
