Add or remove students from a classroom

Summary: Enrollment is managed from the classroom profile, not from individual student profiles. Open Classrooms, choose the classroom, and click Edit Students. There you will see two lists: students enrolled in the class and students not enrolled. Check the box next to a name and click Remove to take a child out, or check a name in the not-enrolled list and click Add to bring a child in. You can multi-select to move many children at once, which is the fast way to move a whole group up to a new classroom for the next school year.

Who can do this

Managing classroom enrollment is an Account Owner / Administrator task. Here is who can do it:

  • Account Owners and Administrators can add and remove students in any classroom.

The way to tell is the context switcher in the upper-right corner. If you can switch to Account Admin, you can manage enrollment for a classroom. If you only see your classroom there, you do not have permission, and you will need to ask an administrator for help.

Step-by-step

  1. Open Classrooms. Go to the Classrooms section. Enrollment is managed here, from the classroom profile, not from the individual student profiles.
  2. Choose the classroom. Select the classroom you want to change, for example the room a child is leaving or joining.
  3. Open Edit Students. In the classroom profile, click Edit Students. You will see two lists: students enrolled in the class and students not enrolled.
  4. Remove a student. In the enrolled list, check the box next to each child you want to remove, then click Remove.
  5. Add a student. In the not-enrolled list, check the box next to each child you want to add, then click Add.
  6. Multi-select if needed. Check several boxes to add or remove many children at the same time.

How to move a group to a different classroom

Moving children from one classroom to another is a two-part action, because removing them from one room does not automatically place them in another.

  1. In the current classroom, open Edit Students, select the children you want to move (for example, all your Kindergarten students), and click Remove.
  2. Go to the destination classroom (for example, your Lower Elementary room), open Edit Students, and look at the not-enrolled list.
  3. Find the children you just removed, select them, and click Add to enroll them in the new room.

What about grades and year cycles?

After moving children to a new classroom, you will usually also want to update their grades and/or year cycles to match. That is a separate task, covered in its own article.

A few things worth knowing

  • Removing a student from a classroom does not delete the child. It only un-enrolls them from that room.
  • Multi-select makes end-of-year promotions quick: remove a whole group from one room and add them to the next in just a few clicks.
  • A child can be added back to a classroom at any time from the not-enrolled list.
