Update a student's grade level or year cycle
Summary: You can change which grade level a child is assigned to in two ways: one student at a time from their profile, or many students at once in bulk from the Grade Years page. To update one child, open their profile, click Edit, and adjust the grade level. To move a whole group up at once, for example promoting all Kindergarten students, use the Grade Years page, select the students, choose the new grade, and click Update.
Who can do this
Grades and year cycles are managed in Account Admin, Settings, so this is an Account Owner / Administrator task. Here is who can do it:
- Account Owners and Administrators can update grades and year cycles for any student.
The way to tell is the context switcher in the upper-right corner. If you can switch to Account Admin, you can update grades from the Grade Years page for the whole school. If you only see your classroom there, you do not have permission, and you will need to ask an administrator for help.
Step-by-step: update one student from their profile
- Open the student's profile. Go to the child whose grade you want to change.
- Click Edit. Within the student's profile, click Edit.
- Adjust the grade level. Change the grade level field to the correct new grade, then save.
Step-by-step: update many students at once
- Open the Grade Years page. Use the left-side navigation to go to Grade Years.
- Find the grade level. The page shows all students currently assigned to each grade level.
- Select the students. Choose students individually, multi-select several, or use Select All to grab everyone in a grade.
- Choose to change or remove. With students selected, you can either change the grade year or remove it.
- Set the new grade. Pick the new grade level, for example moving all Kindergarten students up to the next grade.
- Click Update. Click Update to apply the change to every selected student at once.
- Confirm. The list now reflects that the selected students are assigned to their new grade level.
Which method should I use?
Use the profile method when one child is moving up or needs a correction. Use the Grade Years page when you are promoting a whole group at once, such as at the start of a new school year. The bulk method is the quickest way to move many children together.
A few things worth knowing
- The bulk tool lets you remove a grade year as well as change it, so you are not limited to promotions.
- Moving students between classrooms is a separate task from updating their grade. You will often do both when children advance for a new year.
