Record a tracker from the Journal

Summary: Trackers let you record daily routines — such as morning snack or afternoon snack — for the children in your classroom. Select your classroom, open the Journal page, and click the Trackers tab to see the trackers you have customized for your account. Choose a tracker, select the children either one at a time or with Select All, then click Record and Customize to open the quick-add form. There you set visibility, optionally add a photo and adjust the date, confirm your children and tracker, and add a note if you want — including a one-click link to stamp the current time. Click Save and the tracker is recorded for the selected children.

Who can do this

Any assigned teacher can record trackers for the children in their classroom. Owners and Administrators can record for any classroom. No special role is required.

Step-by-step

  1. Open the Trackers tab. Select your classroom, go to the Journal page, and click Trackers at the top. The trackers you have customized for your account are listed.
  2. Choose a tracker. Select the tracker you want to record, for example AM snack.
  3. Select the children. Click each child individually, or click Select All to highlight everyone in that tracker's row. See "Selecting children and recording in batch" below.
  4. Open the form. Click Record and Customize. This opens the same quick-add form used for recording a tracker.
  5. Set the visibility. Choose the visibility setting for the entry. See "What visibility means" below.
  6. Add a photo (optional). Upload a photo, for example of the snack, if you would like.
  7. Adjust the date. Change the date if needed.
  8. Confirm the children and tracker. The children you pre-selected from the Journal and the tracker you chose are shown for you to verify.
  9. Add a note (optional). Add a note if you want. You can click the link to add the current time to the note, then edit that time manually if it is not correct.
  10. Save. Click Save. The tracker is recorded for the selected children.

Selecting children and recording in batch

You can select children for a tracker one at a time, or click Select All to highlight everyone in that tracker's row at once. If you select more than one tracker — for example AM snack and PM snack — and then click Select All, every child in both trackers is selected, which creates a batch entry across multiple trackers. To record just one tracker for a smaller group, clear those selections and choose only the children you want.

What visibility means

The visibility setting controls whether the entry is eligible to be shared with parents. "Shared with parents" means the entry is eligible to appear on an activity report — it does not push the entry to parents in real time. Setting it to private keeps the entry for your records only.

A few things worth knowing

  • The trackers you see are the ones customized for your account, so your list reflects the routines your school chooses to follow.
  • Select All is the fastest way to record a routine, such as snack, for the whole group in one entry.
  • The time link is a convenience — you can always type a corrected time into the note by hand.
